As families across Villages of Bear Creek begin looking ahead to warmer weather and another community pool season, the Villages of Bear Creek HOA, Inc. has announced updated procedures for obtaining 2026 pool tags — including a major change that eliminates in-person registration and walk-in service entirely.

The updated process is designed to streamline pool access requests while ensuring residents receive their pool identification tags and annual stickers before the 2026 season begins. For homeowners and families who regularly use the neighborhood pool amenities, understanding the new system early could help avoid delays once pool season arrives.

Under the revised policy, all pool tag requests for Villages of Bear Creek residents will now be processed exclusively by mail. HOA officials confirmed there will be no in-person registration dates, office pickup opportunities, or walk-in availability this year.

How Villages of Bear Creek Residents Can Request 2026 Pool Tags

Residents who need new pool tags, updated annual stickers, or replacement pool identification cards must complete a Pool ID Registration Form and submit it electronically.

According to the HOA’s announcement, residents can submit completed forms through the resident portal or by emailing them directly to access@inframark.com.

Once submitted, requests are expected to be processed within approximately 72 hours. After processing, pool tags and stickers will be mailed directly to the property address on file unless alternate delivery instructions are provided. Residents should also allow additional time for standard postal delivery.

For many families in Villages of Bear Creek, the neighborhood pool serves as one of the community’s most active seasonal gathering places during the summer months. HOA leaders are encouraging residents to submit forms early to help ensure uninterrupted access once the season begins.

Important Rules Residents Should Know Before Submitting Requests

The HOA emphasized several important eligibility requirements tied to pool access for the 2026 season.

Most notably, residents with outstanding account balances will not be issued pool access credentials until balances are resolved. The association also reiterated that no in-office pickup or walk-in service will be available under the updated process.

The Pool ID Registration Form additionally notes that all residents age 12 and older are required to have a Pool ID to access the facilities.

Residents are asked to list only individuals currently residing at the property when completing the form. Friends, extended family members, and non-residents should not be included. The form also includes acknowledgment of the HOA’s pool rules, liability waiver, and community facility guidelines.

Replacement Pool Tag and Sticker Fees Explained

The Villages of Bear Creek HOA also provided updated fee information for replacement items and annual renewal stickers.

The following fees apply for the 2026 pool season:

  • Replacement Pool ID Tags: $20 each
  • Replacement Annual Stickers: $5 each

All payments must be made payable to Villages of Bear Creek HOA, Inc.

The HOA provided several examples to help residents estimate costs:

  • Three replacement Pool ID Tags would total $60
  • Three replacement stickers would total $15

Leadership clarified that the $20 charge applies only when residents need new or replacement ID cards, while the annual sticker fee applies each season for active use of existing cards.
