Don’t Forget to Submit Your Proxy: Hearthstone HOA Annual Meeting Needs Your Participation
With the 2025 Hearthstone Homeowners Association Annual Meeting just around the corner, residents are encouraged to take one important action to help ensure the meeting can officially proceed: submit their proxy form.
The meeting, scheduled for Wednesday, November 19 at 6:00 PM, is a once-a-year opportunity for Hearthstone homeowners to engage directly with the HOA Board and community management. It's more than just a formality — it's a chance to hear neighborhood updates, learn about future projects and financial planning, and share ideas and questions in an open forum.
But in order for the meeting to be held, the HOA must meet quorum — the minimum number of members represented either in person or by proxy. That’s where each resident plays a crucial role.
Submitting your proxy form ensures your household is counted, even if you can’t attend in person. These proxies are essential for conducting official business such as voting on new board members or approving budget items.

Proxy forms were recently mailed out with the official meeting notice from Inframark, and all homeowners should have received them by now. If you can’t be there in person, you can:

Deadline to submit your proxy is 12:00 PM on Monday, November 17, 2025.
And there’s a little extra incentive — five residents who either submit a proxy or attend the meeting will be entered into a gift card drawing. You don’t have to be present to win, making it an easy way to support your community and possibly walk away with a reward.
In-person attendees can expect updates on community improvement efforts, budget planning insights, and the opportunity to directly engage with the HOA Board.
