West Memorial Residents Encouraged to Submit Ballots and Proxies Ahead of Annual HOA Meeting
West Memorial homeowners are being encouraged to submit their ballots and proxies ahead of the upcoming West Memorial Civic Association 2026 Annual Meeting of Members, scheduled for Tuesday, May 26, 2026 at the Community Clubhouse on Kingsland Drive.
While annual HOA meetings may seem procedural on the surface, they play an important role in shaping the future of the neighborhood — from leadership decisions and financial oversight to community priorities and long-term planning. For residents in West Memorial, the meeting is one of the few opportunities each year for homeowners to directly participate in decisions that impact the community they call home.
Association officials noted that only 16 ballots and proxies had been received as of this week, well short of the 129 member votes required to meet quorum.
Without enough participation, the election may not officially move forward, delaying important business and limiting the community’s ability to make decisions collectively.
Why the West Memorial HOA Meeting Matters
This year’s meeting agenda includes the election of four board members to two-year terms, a financial report, and an open forum discussion about the state of the association.
For many residents, these meetings help determine how neighborhood resources are managed, how community standards are maintained, and what priorities the board will focus on moving forward.

Residents Can Still Participate Even If They Cannot Attend
Homeowners who are unable to attend in person are still encouraged to participate by submitting a proxy or absentee ballot. According to the association notice, West Memorial bylaws allow members to vote by proxy if completed in writing by the homeowner or their authorized power of attorney.
Residents may forward proxy forms by email to HWTMManager@goodwintx.com, mail them to the association management office, or provide them to a neighbor attending the meeting.
Association documents state that at least 10% of the total membership must be represented either in person or through proxy/directive ballot in order to establish quorum.
